How the Feature Works #
Dormefy’s Round Cost feature is designed for shared living dormitories to split non-meal-related expenses, such as electricity bills, among all members without affecting the meal rate. This feature ensures that common costs are fairly divided while maintaining the meal management system separately.

There are two types of costs in Dormefy’s meal management system:
- Meal Cost: The cost directly associated with meals.
- Round Cost: Any additional shared expense that is divided equally among all members but does not influence the meal rate.
For example, if the dorm’s electricity bill is $230, and there are 8 members, the Round Cost would be divided equally:
$230 ÷ 8 members = $28.75 per member.

- Member Requests for Round Cost: Members can submit a request for a round cost to be added, which then needs manager approval.
- Manager’s Role: Dorm managers can add round costs directly through the Expenses section in the Dormefy app and either approve them immediately or leave them pending for review.
How to Add Round Costs: #
The process of adding a round cost is the same for both members and managers, with the key difference being that managers can approve the cost instantly while adding it, whereas member-submitted costs require manager approval.
For Both Members and Managers: #
- Log into Dormefy.
- From the left sidebar, go to Expenses.
- Click the Add Expense button.
- Select a date and enter the round cost amount (e.g., 230).
- Write a description, such as “Electricity bill.”
- Choose Round Cost from the Expense Type field.
- Click Add Expense.
- For Managers: The manager can either approve the cost immediately or leave it pending for later approval.
- For Members: The round cost will be pending manager approval after submission.
How to Filter Round Costs: #
- To filter out only round costs from the expenses list, go to the Expenses page.
- At the top, you will see the Filter by Type field.
- Select Round Cost from the dropdown, and all round costs will be displayed.
- You can also filter by a specific date range if needed.
Will adding a Round Cost affect the meal rate for the dorm? #
No, Round Costs do not impact the meal rate. They are separate expenses divided among members and unrelated to meal management.
Can members add their own Round Costs? #
Yes, members can submit round cost requests, but they require approval from the dorm manager before being applied to the expenses list.
