Introduction
Welcome to Dormefy! Your privacy is important to us, and we are committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use it, how we protect it, and how it may be shared when you use Dormefy and its services.
By using Dormefy, you acknowledge and agree to the practices described in this Privacy Policy.
–
Information We Collect
We collect information necessary to provide and improve our services, including:
–
Personal Information
When you create or use a Dormefy account, we may collect information such as your name, email address, phone number, account information, and other information you choose to provide.
Dormitory Information
–
Dorm managers and authorized users may provide information related to their dormitory, including dormitory name, location, room details, seat availability, member information, meal plans, deposits, and other dorm management information.
–
Payment and Transaction Records
Dormefy may allow users to manually record and manage information about dorm-related payments, such as rent, meal payments, deposits, seat fees, or other financial records.
These records are provided for management and record-keeping purposes only.
Dormefy does not process, collect, hold, transfer, or settle payments between dorm managers and residents. Actual payments between dorm managers and residents are handled directly by those parties using their own agreed payment methods, such as cash, bank transfer, mobile banking, or other payment methods.
Dormefy does not verify whether a manually recorded payment was actually made and is not responsible for the underlying payment transaction.
–
Dormefy Subscription Information
If a dorm manager purchases a Dormefy subscription, we may collect or receive information necessary to manage the subscription and billing relationship. Subscription payments made to Dormefy are separate from payments between dorm managers and residents.
–
Usage Data
We may collect information about how you use Dormefy, including interactions with features such as dorm management, meal management, seat management, payment records, bookings, account settings, and other platform features.
–
Device and Technical Information
We may collect technical information about the devices and software used to access Dormefy, which may include IP address, browser type, operating system, device information, log information, and similar technical data.
How We Use Your Information
We may use the information we collect to:
Provide and Improve Services
Provide, operate, maintain, and improve Dormefy’s dormitory management features, including dorm management, member management, meal management, seat management, booking features, and payment-recording features.
Dormefy does not use your information to process or transfer payments between dorm managers and residents because Dormefy does not handle those underlying payments.
–
Manage Accounts
Create and manage user accounts, authenticate users, maintain account security, and provide account-related functionality.
–
Maintain Dormitory Records
Allow authorized dorm managers and users to maintain dormitory information, member information, meal records, seat information, deposit records, and manually entered payment or transaction records.
–
Manage Dormefy Subscriptions
Process and manage subscriptions purchased from Dormefy by dorm managers, including subscription billing, account status, and related customer support.

–
Business Transfers
If Dormefy is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction, information may be transferred as part of that transaction, subject to applicable laws.
–
Payment Information and Dormitory Transactions
Dormefy does not act as a payment processor, payment intermediary, bank, wallet, escrow service, or financial institution for transactions between dorm managers and residents.
Rent, meal payments, deposits, seat fees, and other dorm-related payments are made directly between the relevant parties using a payment method they mutually agree upon.
Such payment methods may include:
- Cash
- Bank transfers
- Mobile banking
- Other direct payment methods agreed upon by the parties
Dormefy may provide features that allow users to record information about these transactions inside the platform. Such records are maintained for organizational and record-keeping purposes and do not mean that Dormefy received, transferred, processed, verified, or held the underlying funds.
Dormefy is not responsible for verifying the accuracy of payment records entered by users or resolving disputes concerning payments between dorm managers and residents.
–

We take reasonable measures to protect the information we collect against unauthorized access, alteration, disclosure, loss, or misuse.

We retain personal and account information for as long as reasonably necessary to provide our services, maintain business and transaction records, comply with legal obligations, resolve disputes, enforce our agreements, and protect our legitimate interests.
The retention period may vary depending on the type of information and the purpose for which it was collected.
